Meetings & Incentives

Plan a meeting, team retreat or incentive trip in China around what your group needs to accomplish. Start with the event dates, approximate headcount and any commitments already in place. Those details help us discuss a city, venue setup and programme that fit together.

Choose a format for your group

  • Corporate meeting. Set aside time for presentations, breakout sessions and networking. Share room layouts, working languages and production needs early.
  • Team retreat. Build working sessions and shared meals around activities that suit the group’s pace, including indoor options if the weather changes.
  • Incentive trip. Give the group room to enjoy the destination through a mix of shared experiences, hosted meals and time to explore.

What we can scope together

A brief can cover accommodation and meeting spaces, airport transfers, local transport, group dining and activities. If you need interpretation, audiovisual equipment or on-site coordination, include them in the brief. A proposal should make clear which items are included, which need a separate quote and which depend on supplier availability.

Start with a city or a sample schedule

Consider Shanghai for a city-based meeting with dinner and an evening programme, Chengdu for a retreat with food and cultural activities, or Sanya for an incentive trip with time at the coast. Compare the arrival routes, hotel location and travel between programme venues before deciding.

Which city suits which event

  • Shanghai: the most international flights, large hotel ballrooms and evening programmes on the river.
  • Beijing: heritage venues, private time at the Great Wall and government or business visits.
  • Chengdu: relaxed retreats built around food, teahouses and a panda conservation visit.
  • Hangzhou: lakeside and tea-landscape resorts, one hour by high-speed train from Shanghai.
  • Sanya: beach resorts for incentive groups, best from November to April.
  • Xiamen: coastal hotels and Gulangyu Island for smaller groups.
  • Shenzhen and Guangzhou: technology and manufacturing visits, close to Hong Kong. Company visits depend on the host’s approval.

Before and after the event

Offer delegates a two- to four-day extension: the Great Wall from Beijing, Hangzhou or a canal town from Shanghai, the pandas from Chengdu, or the Terracotta Army by high-speed train. We price extensions separately, so each delegate can book their own.

What a proposal includes

A day-by-day programme, hotel and venue options with capacities, a transport plan, menus and activity options and a cost per person, with optional items listed separately.

Questions to settle before requesting a quote

Can we start before we have a venue?

Yes. Share your dates, likely headcount, room setup and budget range. If the destination is flexible, include the cities your team can reach most easily.

Can a meeting include activities and downtime?

Yes. Start with the fixed meeting hours, arrival times and any early departures. Activities and downtime can then fit around those commitments.

What information affects the estimate?

Dates, headcount, the number of rooms, venue and equipment needs, meal requirements and transport all affect the estimate. Include dietary or accessibility needs that may change the choice of venue or activity.
